How often should I reconcile my bank accounts?

It’s recommended to reconcile your bank accounts on a monthly basis at a minimum to ensure that your financial records accurately reflect your bank transactions and balances. This helps identify discrepancies or errors early on and maintain the integrity of your financial data.

What forms of payment do you accept?

If you are on a bookkeeping, BAS agent or Support Package, payment is deducted from your bank account monthly as authorised by you on signing our Letter of Engagement. 

 If the invoice is a one-off payment required, we accept  Apple Pay, Google Pay, PayPal, EFT or Credit Card. 

What is the difference between a bookkeeper and a BAS agent?

Both bookkeepers and BAS (Business Activity Statement) agents play crucial roles in assisting organisations with their financial management, but they have distinct responsibilities and qualifications. Here’s a comparison:

BOOKKEEPER

Responsibilities: Bookkeepers record financial transactions, maintain accurate financial records, and organise organisation financial data. They handle day-to-day tasks such as data entry, reconciling bank statements, and managing accounts receivable and accounts payable.

Qualifications: While no specific qualifications are required to work as a bookkeeper, many bookkeepers obtain certification or accreditation from professional bodies such as the Institute of Certified Bookkeepers (ICB) or the Association of Accounting Technicians (AAT). Some bookkeepers may also have formal qualifications in accounting or finance. 

Scope of Practice: Bookkeepers provide some financial record-keeping and administration services, but bookkeepers are not authorised to provide certain services such as Single Touch Payroll and preparing and lodging Business Activity Statements (BAS).

BAS AGENT

Responsibilities: BAS agents are authorised by the Tax Practitioners Board (TPB) to provide BAS services to organisations, including preparing and lodging Business Activity Statements (BAS) and other tax-related forms on behalf of their clients. They ensure organisations comply with Goods and Services Tax (GST), Pay As You Go (PAYG) withholding, and other tax obligations.

Qualifications: BAS agents must meet specific qualifications and requirements set by the Tax Practitioners Board (TPB) to become registered. This includes completing approved courses in BAS preparation and having relevant experience in providing BAS services. BAS agents must also meet ongoing professional development requirements to maintain their registration.

Scope of Practice: BAS agents specialise in tax compliance and are authorised to provide BAS services to clients. They have a deeper understanding of tax laws and regulations and are authorised to represent clients in dealings with the Australian Taxation Office (ATO) regarding BAS lodgements and compliance matters.

In summary, while both bookkeepers and BAS agents play essential roles in assisting organisations with their financial management, BAS agents have additional qualifications and authorisation to provide specific tax-related services, including preparing and lodging Business Activity Statements (BAS). Bookkeepers focus primarily on financial record-keeping and administration, while BAS agents specialise in tax compliance and BAS services.

How do you ensure the security and confidentiality of my financial information?

CloudMind Accounts takes the security and confidentiality of your financial information seriously.  We adhere to strict privacy policies and use secure data storage methods. Additionally, we are happy to sign confidentiality agreements or non-disclosure agreements provided by you to protect your sensitive information.

As BAS agents, we must not disclose information relating to a client or former client’s affairs to a third party without consent obtained by the client’s permission or a legal duty to do so.  This is an obligation under (item 6) under the Code of Professional Conduct under the Tax Practitioners Boards legislation.
